1. Booking, Equal Installment Plan, & Forfeiture
Non-Refundable Deposit: The initial $190.00 deposit required to secure a base chapter slot is 100% strictly non-refundable upon payment.
Payment Schedule: By choosing the installment plan, the participant explicitly agrees to pay three (3) subsequent equal payments of $333.33 automatically charged on the following dates:
Installment 1: November 15, 2026
Installment 2: January 15, 2027
Installment 3 (Final): February 15, 2027
Late Payment & Forfeiture: Final payment must be successfully processed on or before February 15, 2027, with no exceptions. If a participant fails to complete any scheduled installment within five (5) business days of the due date, BEAN, INC. reserves the right to immediately cancel the reservation. In the event of cancellation due to default, all prior payments, deposits, and reserved slots are permanently forfeited to cover non-refundable vendor commitments.
2. Standard Cancellation & Refund Windows
Because BEAN, INC. secures exclusive luxury compound buyouts, private transport fleets, and nightlife venue blocks months in advance, refunds are subject to strict timelines:
Before November 15, 2026: Participants may cancel via written notice to admin@beanwellnessretreats.com. A refund of any additional payments made beyond the initial deposit will be granted, less standard credit card processor fees (6.5% + $0.50) or wire transfer fees ($55.00). The $190 deposit remains non-refundable.
November 16, 2026 – December 15, 2026: Written cancellations during this window are eligible for a 50% refund of installment payments made to date, minus processing fees.
After December 15, 2026: All payments become 100% non-refundable and non-eligible for enhancement credits. No refunds, partial refunds, or travel credits will be issued for any cancellations made after this date, regardless of medical, academic, or personal emergencies.
3. Participant Transfers
If a participant can no longer attend, they may transfer their accumulated payment credits to another eligible member of their same chapter.
Transfer requests must be submitted in writing via email to admin@beanwellnessretreats.com no later than February 1, 2027.
Credits are strictly non-transferable to a different retreat, product, or calendar year; they may only be assigned to a replacement traveler taking over the exact same slot.
4. Mandatory On-Site Fees & Flight Logistics
Local Compound Fee: Your online checkout total reflects your base chapter booking slot. A mandatory, $50.00 cash-only Local Eco-Tax, Cleaning, & Villa Maintenance Fee is required individually from each student upon arrival at the compound check-in desk. This fee is non-refundable and covers private estate deep-cleaning, local municipal environmental lodging taxes, and continuous estate upkeep.
Flight Responsibility: Commercial airfare is strictly excluded from this package. All students are solely responsible for booking their own air travel to Mexico. To utilize the included private group transport, students must coordinate their flights to arrive by 2:00 PM on Day 1. BEAN, INC. is not liable for missed group shuttles or individual transport expenses resulting from flight delays, cancellations, or missed connections.
5. Zero Liability Framework, Nightlife, & Conduct
Independent Venue Boundaries: BEAN, INC. serves strictly as an experience, transport, and booking curator. While hosted VIP access and expedited venue entry at partnered day clubs/nightclubs (e.g., Mía Beach Club, Blue Lagoon) are fully included, individual off-site food, specialty beverages, and venue daybed minimum spends are completely separate. These must be paid individually on-site by the students.
Property Damage & Security: Participants are housed in private partner villas and luxury gated compounds. Each participant is responsible for keeping their personal items locked away. BEAN, INC. and its affiliates (including third-party healers, drivers, and villa staff) assume zero liability for lost, damaged, or stolen personal items. Any physical damage caused to the villas, pools, furnishings, or grounds by a participant or their guests will be billed directly to the individual's credit card on file.
Right of Refusal & Expulsion: BEAN, INC. reserves the explicit right to refuse service to any person or entity without obligation to provide a detailed explanation. Furthermore, BEAN, INC. reserves the right to immediately expel any participant from the compound, without refund, whose behavior becomes excessively disruptive, hazardous, destructive, or violates local Mexican laws.
Alcohol & Age Compliance: All participants must comply with local Mexican statutes regarding the consumption of alcohol. BEAN, INC. does not provide, sell, or assume liability for the individual choices or actions of participants relating to substance consumption or off-site nightlife activities.
6. Wellness Activities, Health Requirements, & Emergency Protocols
Voluntary Participation: By purchasing a slot, the participant understands that this itinerary contains a blend of high-energy nightlife, physical movement, meditation, and wellness modalities (including hot/cold exposure and breathwork). Participation in any scheduled event, class, excursion, or meal is entirely voluntary. No partial refunds or adjustments will be issued if a participant chooses to skip any portion of the curated itinerary.
Physical and Mental Health Representation: The participant certifies that they are currently in good physical and mental health. Because this experience takes place outside of United States borders, it is the sole responsibility of the participant to consult with a licensed physician prior to attending if they have ongoing health or cardiac concerns. Purchasing independent international travel health insurance is highly recommended.
Pandemic & Frontier Closure Protocol: In the event of a future global pandemic or catastrophic international event, a credit reuse policy will activate if and only if international borders/frontiers are legally closed on the dates of the scheduled event. In that specific scenario, all funds paid to date will be securely protected and converted into a 12-month travel voucher redeemable for a rescheduled chapter takeover. Due to seasonal venue shifts or vendor availability, base prices for future dates may be subject to market adjustments.
7. Global Media Release
Participants acknowledge that professional media, photography, and film teams will be actively documenting the experience onsite during group sessions, villa gatherings, and venues. By participating, you grant BEAN, INC. a perpetual, royalty-free, worldwide, irrevocable license to use your image, video footage, and likeness in future promotional materials, websites, social channels, and advertising portfolios.
If a participant wishes to opt out of media capture, they must submit a formal request in writing to admin@beanwellnessretreats.com prior to arrival on Day 1, or explicitly notify the onsite media lead.
8. Intellectual Property Protection
The Site, Services, itineraries, digital assets, and marketing materials contain intellectual property solely owned by BEAN WELLNESS, LLC, including but not limited to trademarks, copyrights, proprietary experience curation structures, and brand designs.
You may not modify, publish, transmit, participate in the transfer or sale of, create derivative works from, distribute, display, reproduce, or in any way exploit in any format whatsoever any of our content or intellectual property, in whole or in part, without explicit prior written consent from BEAN, INC.
BEAN, INC. reserves the right to immediately terminate service and remove any participant from an active retreat, without refund, if they are found to be violating this intellectual property policy.
9. International Travel Documentation & Passport Compliance
Passport Validity: All participants must possess a valid passport to travel outside of the United States. It is your sole responsibility to check your expiration date. If your passport is set to expire within six (6) months of March 2027, you are highly advised to renew it immediately.
Many airlines and border authorities will deny boarding if a passport has less than 3–6 months of validity remaining.
Entry Requirements: Currently, entering Mexico requires a valid passport and the standard immigration form typically provided by commercial airlines mid-flight. Re-entering the United States requires a valid passport. Because international border entry guidelines are dynamic and constantly evolving, participants are entirely responsible for monitoring and complying with the most up-to-date TSA, CDC, and border patrol entry frameworks at the time of travel.
Border Denial Liability: BEAN, INC. assumes absolutely zero financial or logistical liability in the event that a participant is denied boarding by an airline, denied entry into Mexico, or delayed upon re-entry into the United States due to invalid, damaged, or incomplete travel documents.
10. Airport Logistics & Transfer Routing
Airport Options: For the Spring Break 2027 Tulum Takeover, participants may book commercial air travel into either:
Cancun International Airport (CUN): Located approximately 90–120 minutes from the Tulum compound.
Tulum Felipe Carrillo Puerto International Airport (TQO): Located approximately 45–50 minutes from the Tulum compound.
Shuttle Coordination: Included private group sprinter shuttles will be operating on a strict schedule from both transit hubs on Day 1. To guarantee utilization of your included transfer asset, flight arrival times must be submitted to admin@beanwellnessretreats.com no later than 30 days prior to departure.
11. Policy Modifications
Our operational policies, vendor partnerships, and security procedures are subject to updates and structural adjustments. BEAN, INC. reserves the right to modify these terms and conditions to match changing local regulations or municipal guidelines without prior individual notice.
